Job Description
The Natalie L. Haslam College of Music (NLHCOM) Financial Coordinator reports to the Director of Finance & Administration and serves as the primary financial associate for the college serving as subject matter expert for accounts payable and receivable. This position's key responsibilities include developing contract language/managing contracts entries, dual service contracts, purchase orders, deposits, scholarships, travel, and internal transfers for the college. It coordinates and executes complex daily activities, financial inputs, and operations of the financial information office. Handling sensitive information requires utmost discretion and confidentiality. The Financial Associate must work independently, ensuring tasks are completed accurately and on time, deferring questions/concerns to the business manager. Serves as subject matter expert (SME) and entry role for all practices and policy for purchasing, accounts payable, accounts receivable/invoicing related functions, also develops written processes, best practices, and communicating changes for these areas to campus and college practices in related areas. Works with intersecting roles to ensure development of documented best practices with visual aids to help provide operational awareness.
Responsibilities
Financial Reporting & Budget Management
- Supporting fiscal policy, developing best practices, templates, visual aids, preparation and process.
- Communicating and advising on campus changes.
- Communication and tracking deadlines for project/change management.
- Ensures data and reporting integrity through detail and consistency in entries; works with Business Manager in developing process for tracking and reporting program and office level encumbrances/expenses against allocated budget to deans and directors.
- Develops knowledge of policy, financial analysis and campus services through career development, campus learning communities, and support of analytics reporting.
- Assisting Business Manager in reconcile and reporting of A/R & audit.
- Ensures policy and separation of duties in process for accounts payable functions.
- Issuing and tracking invoices.
- Coding transactional data for analysis, ensuring consistency miscellaneous reimbursements.
- International Travel Planning & Budgeting.
- Assist Business Manager in annual internal audit, monthly, periodically reconcile functions.
- Manage college scholarship entries in Scholarship Manager.
Accounts Payable & Receivable
- Process all contract and purchase order (PO) requests for NLHCOM.
- Maintain an up-to-date working knowledge of UT payables.
- Process and enter contracts in the ERP (Agiloft).
- Set up and coordination for vendor files (Payment Works).
- Assist the Business Manager and Director with accounts payable/receivables, advising leaders on the process and proposing recommendations.
- Coordinate group/annual purchases to facilitate timelines.
- Central Procurement card holder, places orders to back up Operations & Events Coordinators.
- Ensure timely fund reconciliation and adherence to policies.
- Ensures appropriate signatures are obtained for transactions prior to entry.
- Internal, external, wire and transfer vouchers, monitor wire and unclaimed payments.
- Manage deposit separation of duties for all NLHCOM receivables, Touchnet entry/back up, daily deposit and reconcile.
Training & Support
- Process development and guidance subject matter expert for staff and faculty regarding fiscal policy, travel, petty cash, contracts, procurement, and related policy, internal practice and best practices.
- Supply documentation, information, and reports for the director and Business Manager, auditors, and other parties as needed.
- Elevate compliance issues to the director and Business Manager as necessary.
- Stay current on fiscal and HR policy updates, including record retention and best practices.
- Cross trains and provides back-up for Operations & HR Coordinators in absence or times of surge.
- Training event staff/students on receivables for events and managing receivables website.
Travel & Event Management
- Serve as a Travel subject matter expert, processing travel and developing best practices for all travel functions.
- Act as a delegate for NLHCOM employees to assist with entering and processing travel.
- Assist departments with planning trips involving students (including international travel).
- Central Travel card holder.
Additional Responsibilities
- Perform other duties as assigned by the Director of Finance and Administration.
- Assist the Associate Dean for Research & Facilities and Office of Information & Music Technology in asset, facilities and inventory reporting, communication, and asset recording and reporting.
- Assists in Annual Space Report and Annual Inventory Reports.
Qualifications
Required Qualifications
- Education: High School Diploma
- Experience: 1-3 years working in an office setting.
- Knowledge, Skills, Abilities: Expertise in Microsoft Office (Excel, PowerPoint, Outlook). Excel reporting. Attention to detail. Critical thinking and problem solving. Interpreting and navigating policy & guidelines. Possess strong interpersonal skills. Ability to promote and maintain confidentiality. Must possess knowledge of office/professional etiquette. Ability to work well and pleasantly with groups of people and work independently daily. Ability to multitask and maintain a high degree of accuracy in a fast-paced environment.
Preferred Qualifications
- Education: Bachelor's degree
- Experience: 2-3 years working in an office setting.
- Knowledge, Skills, Abilities:. Expertise in Adobe, Oracle ERP, Banner/Argos, Concur, ESM Contract Management System, Doodle Poll. Higher education experience. Knowledge and understanding of UT financial and human resource policies.

Compensation and Benefits
- UT market range: MR06, Full-time, Non-exempt
- Anticipated hiring range: $40,000-$43,000
